Solus Trust Company Limited (“Solus Trust”) is an established financial service provider located in downtown Vancouver, BC.  The company is a pure fiduciary, specializing in acting as Executor/Administrator, Trustee, or Attorney under a Power of Attorney.  We are seeking an experienced individual to join our team of Trust and Estate professionals as Office Coordinator.

 

The Office Coordinator is a key front-facing role within the company, interacting daily with staff members, clients, professional advisors, and members of the public.  Simultaneously, the Office Coordinator performs key office administration tasks.  Organizational skills and the ability to multi-task are key to success, all while using empathy and tact when dealing with people who may be grieving or upset.

 

DUTIES AND RESPONSIBILITIES:

Client Service
  • Greet and welcome office visitors
  • Maintain the flow and function of the office with hands-on front desk reception and administrative duties
  • Coordinate and maintain office security and safety protocols (COVID-19)
  • Ensure reception area is tidy and presentable
  • Provide basic and accurate information in-person and via telephone; respond to inquiries from existing & prospective clients and stakeholders
  • Maintain confidentiality and privacy in all matters
Office Administration
  • Answer and screen incoming telephone calls
  • Receive, sort and distribute incoming mail, deliveries, and faxes
  • Perform other clerical receptionist duties such as filing, scanning, photocopying, transcribing, faxing and preparing mailings and courier packages
  • Order office supplies and keep inventory of stock
Operational Support
  • Assist and collaborate with Manager, Estate Planning with social media initiatives
  • Ensure all documents and files (electronic and hard copies) are up to date; maintain well organized filing systems that permit easy reference and rapid retrieval of information
  • Keep updated and accurate records of office expenses and costs
Teamwork
  • Assist Management and Administration team as required
  • Provide additional administrative support as required
  • Other projects or related-work as assigned

QUALIFICATIONS:

  • Minimum Education: Post-Secondary Diploma or degree
  • 3+ years experience in an Office Manager, administrative, or clerical position
  • Trust & Estate or banking industry experience is considered an asset
  • An equivalent combination of related education and experience may be considered
  • Discretion, including ability to keep information (client and corporate) strictly confidential
  • Excellent keyboarding skills
  • Proficiency in with MS Office 365 suite, including MS Access.
  • Hands-on experience with standard office equipment (e.g. fax machines and printers)
  • Experience working with seniors, persons with disabilities, and/or vulnerable members of our society is an asset
  • Professional attitude and appearance
  • Strong oral and written communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks

Compensation for this position is $42,000-$45,000 yearly, commensurate with experience. A competitive benefits package is offered. Both a Criminal Record Check and a Credit Inquiry are required.
